Preparation Requirements

Identify the Personal Document

Common documents include affidavits, sworn statements, single-status declarations, parental consent letters, travel consent forms, name declarations, and other privately prepared personal documents.

Prepare the Document

Ensure the document is complete, accurate, and contains the required information. Confirm whether the receiving country requires a particular form, wording, witnesses, or supporting documentation.

Obtain Alabama Notarization

The document must be properly notarized by a currently commissioned Alabama notary public.

The notarization must include the notary's original signature and official embossed or ink-stamped seal.

Signer Identification

The signer must be properly identified by the notary in accordance with Alabama law. For an in-person acknowledgment, Alabama generally requires personal knowledge or acceptable government-issued photo identification.

Choose the Appropriate Notarial Act

Depending on the document, an acknowledgment or an oath-based notarization may be appropriate.

Affidavits and sworn declarations ordinarily require an oath or affirmation. Other personal documents may require an acknowledgment.

The correct notarial act depends on the document and the receiving authority's requirements.

Review the Notarial Certificate

Check that the notarial certificate is complete and legible, with the required official signature and seal. Missing or incomplete information may prevent authentication.

Foreign-Language Documents

Alabama requires documents written in a foreign language to be accompanied by a notarized English translation for state authentication.

Confirm the Destination Country

Apostilles are intended for countries participating in the Hague Apostille Convention. Documents for non-Hague countries may require a different certification or legalization procedure.

Important Information

An apostille verifies the official notarial signature and seal. It does not establish the truth of the statements in the document or guarantee acceptance by a foreign authority.

National Apostille Center can review your document before processing to help identify potential preparation issues.

Required Certification

Alabama Notary Public

Notarized personal documents must bear the original signature and official seal of a currently commissioned Alabama notary public to qualify for an Alabama apostille.

Original Signature and Seal

The Alabama Secretary of State requires an original official signature and an embossed or ink-stamped seal from the commissioned notary.

Proper Notarial Act

The document must contain an appropriate and properly completed notarial certificate.

Depending on the document, this may involve an acknowledgment or an oath or affirmation administered by the notary.

Notary Commission Verification

The notary's commission must be current and verifiable through Alabama's official notary records.

County Authentication

Additional county authentication of the Alabama notary's commission is generally not required for an apostille.

For notarized documents requiring certification for a non-Hague country, Alabama requires county authentication of the notary's commission through the appropriate probate judge's office.

Apostille Issuing Authority

Alabama Secretary of State — Authentication Division.

Important Notice

An apostille authenticates the notary's signature, seal, and official capacity. It does not certify the contents of the personal document or determine whether it satisfies the destination country's legal requirements.
