Preparation Requirements
Identify the Employment Document
Common documents include employment verification letters, work experience certificates, job confirmation letters, employer declarations, salary verification letters, and employment-related affidavits.
Obtain the Document From Your Employer
Request the document from the employer, human resources department, or another authorized company representative.
Where possible, the document should be issued on official company letterhead.
Employment Verification Letters
The letter should include the employee's full legal name, job title, employment dates, and other information required by the receiving country.
Salary, employment status, or job duties should be included when specifically requested.
Work Experience Certificates
A work experience certificate should identify the employee, the employer, the relevant employment period, and the nature of the work performed.
The document should be signed by an authorized employer representative.
Employer Signature
Privately prepared employment documents should be signed by a person authorized to represent the employer.
An unsigned document or ordinary electronic printout may not qualify for apostille without additional preparation.
Alabama Notarization
For Alabama apostille processing, privately issued employment documents generally must contain a properly notarized signature or an appropriate notarized certification statement.
The notarization must be completed by a currently commissioned Alabama notary public.
Check the Notarial Certificate
The notarial certificate must be complete and legible, bearing the Alabama notary's original signature and official embossed or ink-stamped seal.
Foreign-Language Documents
Documents written in a foreign language must be accompanied by a notarized English translation for Alabama authentication.
If the receiving country requires a translation of the apostilled document, confirm its requirements before arranging the translation.
Important Information
Employment documents may have additional formatting, content, or certification requirements depending on the receiving country.
National Apostille Center can review your employment document before processing to help determine whether it is properly prepared for an Alabama apostille.
Required Certification
Authorized Employer Representative
Privately issued employment verification letters, employer declarations, and work experience certificates should be signed by an authorized company representative.
Alabama Notary Public
For the Alabama notarial apostille route, the document must bear the original signature and official seal of a currently commissioned Alabama notary public.
Original Signature and Seal
The Alabama Secretary of State requires an original official signature and an embossed or ink-stamped seal from an eligible Alabama public official.
Proper Notarial Certificate
The document must contain a properly completed notarial certificate appropriate to the act performed.
The employer representative's signature must be notarized in accordance with Alabama law.
County Authentication
Additional county authentication of the Alabama notary's commission is generally not required for an apostille.
For notarized documents requiring certification for a non-Hague country, Alabama requires county authentication of the notary's commission through the appropriate probate judge's office.
Government-Issued Employment Records
Documents issued by state or federal government agencies may require a different authentication procedure.
Federal documents are not apostilled by the Alabama Secretary of State.
Apostille Issuing Authority
Alabama Secretary of State — Authentication Division.
Important Notice
An apostille authenticates the official signature, seal, and capacity of the notary or other eligible public official. It does not independently verify employment history, salary, job performance, or the accuracy of an employer's statements.
